Planning an exhibition stand? Start with these six details.

A useful stand brief starts with the event, the space and the people you want to meet. Here is what to prepare before asking for a design and quotation.

An exhibition stand has several jobs to do in a limited space. It needs to make your business recognisable, explain what you offer and give visitors a reason to start a conversation. Preparing a few details before you request a quote makes the design discussion far more useful.

The event and the space

Start with the event name, venue and dates. Send the organiser's floor plan, stand dimensions and the number of open sides. Include the exhibitor manual if you have it. The available space and venue requirements influence what can be proposed.

The people you want to meet

Describe the visitors who matter to your business. Are you meeting distributors, technical buyers, existing clients or a wider audience? A visitor looking for a product demonstration may need a different space from someone stopping for a quick introduction.

The reason you are exhibiting

Choose a clear purpose. You may be introducing a product, demonstrating equipment, meeting new prospects or supporting an established customer base. That purpose helps guide the message, layout and materials you take to the show.

What needs to fit on the stand

List the equipment, samples, screens, furniture and storage you expect to need. Include approximate sizes and any power requirements you know about. Think about where conversations and demonstrations will happen, and how staff and visitors will move through the space.

Your brand and message

Supply the logo, brand guidelines and a short explanation of what you want visitors to remember. Large graphics need a clear message. Supporting brochures or screens can carry more detail for people who stop to learn about the offer.

Budget, approvals and timing

Share an approximate budget and the people who will approve the design. Tell the team about internal deadlines as well as the event date. Artwork, production and installation all need time in the schedule.

You do not need every answer before making contact. Send what you have, highlight what is still undecided and use the first discussion to work through the gaps.
